1. Who this policy applies to

This policy explains how Voltcycle Pty Ltd (ABN 99 701 387 742, ACN 701 387 742) of Melbourne, Victoria collects, uses, stores, discloses and secures personal information. It covers our website at voltcycletec.site, enquiries made to us, and the servicing and battery work we carry out. In this policy, "we", "us" and "our" mean Voltcycle Pty Ltd, and "you" means the person whose personal information we hold.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) set out in that Act.

2. The personal information we collect

We collect only what we need to answer an enquiry, carry out a job and meet our record-keeping obligations. This may include:

• your name, email address and any other contact details you choose to give us;
• details of the machine or battery pack you ask us about, including make, model, serial or pack identifiers and purchase history you tell us about;
• service records, diagnostic test results, written reports, quotes and job notes;
• billing and payment records, including invoices we issue and payment references;
• correspondence between you and us, including emails and form submissions; and
• technical information automatically recorded by our hosting provider when a page is requested, such as the requesting IP address, the time of the request, the page requested and the browser user agent.

We do not seek sensitive information as defined in the Privacy Act, and we ask that you do not send it to us. We do not collect government identifiers unless required by law.

3. How we collect personal information

Wherever it is reasonable and practicable, we collect personal information directly from you — when you email us, use the enquiry form on our contact page, book a service, or speak with us about a job. The enquiry form on this site opens your own email application; it does not transmit your details to any third-party form service.

We may also collect information from someone acting on your behalf, such as a fleet operator arranging work on a machine you ride, or from a person who refers you to us.

4. Why we collect, hold and use it

We use personal information to:

• respond to enquiries and provide quotes;
• book, carry out and document servicing, diagnostics, repairs, rebuilds and battery collection;
• produce written condition reports and keep a service history for a machine or pack;
• invoice you and manage payment;
• contact you about work in progress, uncollected goods or a safety issue we identify;
• maintain records relating to the safe handling, storage and disposal of lithium batteries; and
• meet our legal, tax and record-keeping obligations.

We do not use your personal information for unrelated purposes, and we do not sell it. We do not send marketing messages unless you have asked to receive them, and any such message will include a way to opt out.

5. Disclosure of personal information

We disclose personal information only where it is necessary, and only to:

• service providers who support our business, such as our email and website hosting providers, accounting and bookkeeping services, and payment processors;
• suppliers, recyclers or transport operators where a job requires it — for example, when a battery pack is passed on for material recovery, together with the information needed to handle it safely;
• our professional advisers, such as accountants and lawyers, where required; and
• a court, regulator or other authority where we are required or authorised by law to do so.

6. Overseas disclosure

Some of the service providers we rely on, including website hosting and email providers, may store or process data on servers located outside Australia. Where that happens, we take reasonable steps to ensure the recipient handles personal information consistently with the Australian Privacy Principles.

7. Cookies and this website

This website is a set of static pages. It does not set advertising or analytics cookies, does not run third-party tracking scripts, and does not build a profile of visitors. Our hosting provider keeps standard server logs, described in section 2, for security and reliability purposes.

Your browser may store its own cache of the pages you view. You can clear or restrict that through your browser settings without affecting how this site works.

8. Security and storage

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. Those steps include restricting access to our email and records to people who need it, using password-protected devices and accounts, and keeping paper job records secured at our premises.

No method of transmission or storage is completely secure. If we become aware of an eligible data breach, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).

9. How long we keep it

We keep personal information only as long as we need it for the purposes described in this policy, or as long as we are required to keep it by law — for example, tax and business records, which are generally retained for seven years. Service and battery-handling records are kept for as long as they remain relevant to the safety history of a machine or pack. When information is no longer needed, we destroy it or de-identify it.

10. Accessing and correcting your information

You may ask us for access to the personal information we hold about you, and you may ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email your request to [email protected]. We will ask you to verify your identity, and we will respond within a reasonable period.

There is no charge for making a request. If we refuse access or correction, we will tell you why in writing and explain how you can complain about that decision.

11. Anonymity

You may ask us a general question anonymously or under a pseudonym. We will need your real details before we can book work, hold goods on your behalf, issue an invoice or collect a battery pack.

12. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at [email protected] with the details. We will acknowledge your complaint, investigate it and respond in writing within a reasonable period, ordinarily within 30 days.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC), which oversees compliance with the Privacy Act 1988 (Cth).

13. Changes to this policy

We may update this policy as our practices or our legal obligations change. The current version is always the one published on this page, and the date at the top shows when it was last revised.
